CANCELLATION POLICY
KAP Assisted Therapy | Antidepressant Infusion Therapy
This policy exists to ensure a fair and efficient organization of appointments, allowing available time slots to be used in the best possible way and guaranteeing the continuity of care provided to all patients.
Each appointment requires prior preparation and the reservation of clinical resources, including the allocation of specific physical space (such as support rooms/bedrooms) and the mobilization of technical and human resources, with associated costs. When an appointment is canceled with little notice, it is not possible to assign that time slot to another patient in a timely manner.
1. Policy Objective

- This policy aims to allow other patients the opportunity to schedule appointments or treatments during available times and to avoid disruption to the clinic's operations.
2. Scope of the Policy
-
- This policy applies to sessions that comprise KAP Assisted Therapy and Antidepressant Infusion Therapy, namely, dosage or pharmacological administration sessions, and preparation or integration sessions under the designation of "Psychotherapy Consultation" and/or "Psychiatry Consultation - Therapy".
3. Cancellation Notice

- We kindly request that any cancellation or rescheduling be communicated at least 48 hours in advance..
- Notification should be given by phone, email, or another official communication channel of the clinic.
4. Last-Minute Cancellations

- Cancellations made with less than 48 hours advance notice will be subject to Cancellation fee of 50% of the cost of the scheduled consultation or treatment.
5. Exceptions

- We understand that unexpected situations occur. The cancellation fee may be waived upon review in the following emergency or justified cases:

- Hospitalization or medical emergenciesCancellations due to hospital admission or physical or mental health emergencies, duly proven with a hospital or medical statement.
- Death of a direct family memberIn the event of the death of a close relative (parents, spouse, children or siblings).
- Illness. If the patient provides a medical certificate proving an incapacitating illness or the need for absolute rest during the appointment time.
- AccidentsCancellations related to serious accidents that hinder travel or attendance at the appointment.
- Other extraordinary situationsSituations not covered above, but deemed relevant by the Liminal Minds team, may be analyzed upon justification and appropriate documentation.
6. Procedure for Requesting a Fee Exemption

- The exemption request must be made within the deadline of 5 business days after the consultation or treatment is cancelled, accompanied by supporting documentation (medical statement, police report, etc.).
- The assessment will be carried out by the team, who will inform the patient of their decision within [timeframe]. 3 business days.

2. Scope of the Policy

- This policy applies to sessions that make up KAP Assisted Therapy and Antidepressant Infusion Therapy, specifically, dosing or pharmacological administration sessions, and preparation or integration sessions under the designations of “Consulta de Psicoterapia” and/or “Consulta de Psiquiatria – Terapia”.
3. Advance Notice

- Cancellations made less than 48 hour in advance will be subject to a cancellation fee equal to 50% of the scheduled consultation or treatment value.

- Accidents. Cancellations related to serious accidents that hinder travel or attendance at the appointment.
- Other extraordinary situations. Situations not listed above but deemed relevant by the Liminal Minds team may be reviewed upon provision of adequate justification and documentation.
6. Procedure for Requesting the Fee Waiver

- A request for a fee waiver must be submitted within 5 business days Following the canceled appointment or treatment, accompanied by supporting documentation (eg, medical statement, accident report).
- The team will evaluate the request and notify the patient of the decision within 3 business days.
